*Resolved* Slowness detected during March in invitation creation, email sending and signing within Visma Sign

Starting from the second week of March, Visma Sign has experienced slowness in creating, sending and signing invitations. In some cases, sending email invites may take several hours. Please don't try to send invitations multiple times.

In some individual cases invitation creation might fail entirely, and in these cases the invitation creation doesn't give any type of error but returns you back to the invitation creation view. When invitation creation fails the invitation can't be found from the archive. In these specific cases we recommend you to try creating the invitation again later.

Signatures may also take noticeably longer to go through and the page seem to keep loading. However regardless of the slowness, in majority of the cases signatures go through eventually successfully. If the signing does fail and you get an error message, we recommend you to try signing again a little later.


According to our development team, the disturbances in the service are caused by high volume of simultaneous events and the big size of invitations. Our development team is fixing the issue with high priority. We will update this announcement as we receive more information or when the problem is resolved.

Update 16.4. at 4:40pm- Visma Sign has been experiencing more slowness during yesterday and today. There has also been some disturbances in the webform, which may cause issues in opening up and signing forms. The majority of invitations and signatures are still being processed successfully. We will continue to implement the previous fixes as planned, and investigate the situation on our side with the highest priority.

Update 5.4. at 3:20pm- The situation is the same as previously. Disturbances and errors have decreased significantly, but some users may still face slowness and errors in the service in invitation creating, sending and signing. Fixes in the service are progressing as planned.

Update 4.4. at 4:40pm- Some users may still face slowness and errors in the service in invitation creating, sending and signing. Fixes in the service are progressing as planned. During the next week changes will be done to the document handling process, which are expected to improve the service performance. Fixes are also expected to have a positive impact on the current issues in invitation creation.

Update 2.4 at 14:50 - The service continues to experience slowness in creating, sending, and signing invitations. Our product development team is continuing the phased implementation of the cloud platform, which will enable larger concurrent user numbers and better performance.


Update 28.3 at 15:20 - The changes made so far have had a positive impact on the system's performance, but there may still be slowness in using the service for some users. We will continue to increase performance and enhance service monitoring.


In the future, the product's ability to serve concurrent users will be significantly increased from the current state. The technical solution relies on greater utilization of cloud platforms, enabling flexible and automatic scaling according to user loads.


Update 27.3. at 5:30pm- So far the made fixes have had a positive impact on the service performance. However due to large transaction volumes there may still be slowness in the service use. During the last night's and today's fixes changes were made to the signing queues and memory allocation, which have decreased the slowness visible in invitation creation, sending and signing. This afternoon a fix to the API-trafic's load distribution was also made, which aims to distribute the service load better. We will continue to improve and actively monitor the service performance.

Update 27.3. at 3:00pm- The current slowness also impacts the use of Visma Sign Forms, as it utilizes the same signing process as the rest of Visma Sign.

Update 26.3. at 5:30pm- There are still disturbances in the service that impact invitations and signing. Following fixes that are expected to improve service's performance will be done during tonight's service maintenance break at 9pm-00am and on Wednesday 27.3.: 


- Amount of the signature queues is increased during today's service maintenance break
- The memory allocation of document handling and signature events is increased
- Service load is distributed by moving some of the API-trafic to evening- and night-time 


Update 25.3. at 9:00am- Slowness has reoccurred in our service since Monday morning. The slowness affects both invitation creation and signing. Our product development team is currently addressing this with high priority.

Update 25.3 at 9:00am- The problems with the service regarding the invitation creation, sending and signing of invitations have been resolved and the service is working normally again. We apologise for any inconvenience this may have caused, and we thank you for your patience!

Update 22.3 at 3:15pm- There are still problems with the service, including the creation of invitations, and slowness in signing has also been observed. Our product development is working to fix this.


Update 20.3.- Our development team has reported making fixes related to the slowness issues, and the service should now be operating normally. All email invitations are now being sent using the address visma.sign@visma.com as the sender, rather than the inviter's email address. This may result in some invitations being caught by spam filters. We are still investigating this issue.
