Frequently Asked Questions

Find answers to the most common questions

If you have signed in Visma Sign with strong authentication as a private person after 25.4.2025, a download link for the document will be sent to your email, through which you can download the document for yourself. Signing as a private person occurs if you have selected the role "I represent myself" at the signing stage.

Before 25.4.2025 documents signed as a private person or with the "Other organization" option were stored in the signer's personal Documents archive on the Visma Sign account.
The document is therefore either:

  • in your email, from which you can download the document via the link provided.
  • or in the Documents archive on your private side.

Documents stored in the personal Visma Sign account, signed under the role i represent myself or other organization, are stored in the service for a limited time once the user has registered. Documents signed as a private person in the personal account are currently stored for 12 months from the last signature of the document. Documents signed with the other organization option in the personal account are currently stored for 3 months from the last signature of the document.

You can easily register for the Visma Sign service through our registration page

How do I download the document?

You download the document through the download link sent to your email. If the document is older than 25.4.2025, you will find the document in the Documents view of your personal account. If you are also an organization user, you can switch the view to the private account side through the role menu in the upper right corner. When you click the three dots next to the desired document, you can download the document in pdf format to your device from the view.

Why can't I find the document even though I signed as a private person?

  • The signer of the invitation has sent the invitation through the organization account.
  • The invitation has been sent via another program that has been configured not to send a download link or not to save the document to a private account.
  • The invitation has been signed without strong authentication.
  • More than 12 months have passed since the last signature of the invitation.

Did you sign the document as a representative of an organization? See the instructions: Where can I find the document I signed as a representative of an organization?

Visma Sign's strong authentication currently supports five countries - Finland, Sweden, Norway, Denmark and the Netherlands. Each country has its own authentication methods and if the signer has one of the allowed methods, they can sign using strong authentication.

Visma Sign also offers lightweight signing, which means signing without strong authentication. Light Signature works internationally, which means that anyone can sign with it.

Once an invitation has been sent, it is no longer possible to add signatories afterwards.

To include a missing signature in the same invitation, you can create a completely new invitation, or upload the document and then collect the missing signatures manually. As a last option, you can also create an additional protocol referring to the original document.

It is also not possible to remove signatories from an invitation once it has been sent. However, if everyone else has signed the invitation, the document is still fully valid with these existing signatures and you can download the document from the Visma Sign account Documents. You can then also cancel the invitation, which will close any open invitation links.

When talking about electronic signatures, strong authentication means authenticating the signer by more than one means. In comparison light authentication occurs by means of just one method, such as a password

When signing something with a light signature, there is no authentication done and the signing is done either with your finger or with your computer mouse.

A signature requiring strong authentication is successful only if the recipient has one of the following supported authentication methods:

• Finnish personal ID and Finnish bank IDs or mobile ID
• Swedish personal ID and BankID
• Danish personal ID and NemID or MitID
• Norwegian BankID
• Dutch personal id and iDIN

What if the signer does not have a supported authentication method?

If the signer does not have any of the supported authentication methods, the signature can be requested without strong authentication using a light signature. Instructions for sending a light signature invitation can be found in our guide: How do I send an invitation with strong authentication or a light signature?
