Document management

When a document is created, it is automatically saved in the Documents section of the account from which the document was created. This section contains all documents, regardless of their status. Document visibility is determined by user rights, so it is important to ensure that the correct permissions are set to make documents visible to the appropriate user group.

The new document can also be found in the Open Invites -section. This view presents incomplete documents in the signing round that are missing at least one signature. Other documents are not displayed in this view.

Canceling a document

You can cancel a document by selecting "Cancel invitations" from the three dots on the right corner.

Moving a document

You can move a document to another folder from the three dots on the right corner and selecting "Move to another folder". Please note that documents cannot be moved from one account's archive to another account's archive.

Downloading a document

You can download the document in PDF format using the three dots found on the right corner of the document row, “Preview document” → “Download file”. For more instructions on downloading a document, see our guide How to download a document from a company account?

Document status

You can see the document status, such as "Pending", "Cancelled", or "Signed".

Invitations' expiry date

You can view the validity period of the invitation.

Signatures tab

The Signatures tab allows you to see the status of individual invitations and the details of the invitees, such as name and email address. From this page, you can also send a manual reminder for the invitation from the three dots button.

If the invitation is in the "New" status, you can edit the signer's email address using the same three dots button.

Why can't I find documents/invitations on the company's Visma Sign account?

If an invitation sent through the company account is not found in the company's documents section, there may be several reasons for that:

  • Someone has deleted the document from the company account.
  • User permissions have been modified or the document's folder has been changed. Therefore, the user may no longer have access to the folder where the document is.
  • The user is on the personal account side, in which case the user can switch back to the company account through the role menu in the upper right corner.
