Document management

When a document is created, it is automatically saved in the Documents section of the account from which the document was created. This section functions as an archive for all documents, regardless of their status. After logging in, you can access the archive from the left-hand menu:

Document visibility is determined by user rights, so it is important to ensure that the correct access rights are set to make documents visible to the appropriate user group.

The new document can also be found in the Open invitations section. This view presents incomplete documents in the signing round that are missing at least one signature. Other documents are not displayed in this view.

Canceling a document

To cancel a document, click its name to open the details page. Then, click the three-dot menu in the top-right corner and select "Delete documents".

If you only want to cancel the document's open invitations without removing the document from the archive, open the same menu and select "Cancel invitations"

Moving a document

You can move a document to another folder from the three dots on the right corner. Please note that documents cannot be moved from one account's archive to another account's archive.

Downloading a document

You can download the document in PDF format from the document’s details page by navigating to "Files and attachments", clicking the eye icon, and selecting "Download file".

Alternatively, you can download the file directly from the Documents section by clicking the three-dot menu on the right side of the document row and selecting "Download file". For more instructions on downloading a document, see our guide: How to download a document from a company account?

Document status

You can see the document status, such as "pending", "cancelled", or "signed".

The Signatures -tab

The Signatures tab on the documents details page allows you to see the status of individual invitations and the details of the invitees, such as name and email address. From this page, you can also send a manual reminder for the invitation from the three dots button.

If the invitation is in the "New" status, you can edit the signer's email address using the same three dots button.

Why can't I find documents/invitations on the company's Visma Sign account?

If an invitation sent through the company account is not found in the company's documents section, there may be several reasons for that:

  • Someone has deleted the document from the company account.
  • User permissions have been modified or the document's folder has been changed. Therefore, the user may no longer have access to the folder where the document is.
  • The user is on the private person's account side, in which case the user can switch back to the company account through the role menu in the upper right corner.
