How long are the data entered by form fillers stored in the system? Form data entered by fillers are encrypted and automatically deleted from the system after 30 days from submission. Completed, signed documents are stored in your Visma Sign archive in the selected folder.

What is the difference between copying a form and sharing it as a template? Copying creates a new draft within your organization and retains attached files, but clears publication details and contact information. Sharing as a template creates a public link through which any other Visma Sign Forms user can create their own copy of the form without personal data or attachments from the original form.

How many files can a form filler upload, and what is the size limit? A filler can upload a maximum of 9 files (PDF, PNG, JPG/JPEG). The total combined size of uploaded files, the form logo, and the fixed PDF attachment must not exceed 12 megabytes (MB).

Why can't I publish or unpublish a form? Both publishing and unpublishing require the form to pass validation checks across all 5 steps. Ensure that all steps contain valid information (e.g., required fields, email addresses, and selection options).

Why doesn't the signature window open for the signer? Signature authentication opens in a new browser tab. If the filler's browser has a pop-up blocker enabled, the authentication page may be blocked from opening. The browser must allow pop-ups from the domain.
