When a user registers to Visma sign for the first time, they must complete the registration by using strong authentication. During strong authentication, Visma sign receives the user information from the identification service, and the user account is created based on this information.
The user account is always personal and belongs to the person who has authenticated during registration. Due to the account-specific information, a user account cannot be created on behalf of another person; each user must register to Visma sign themselves. During registration, the user’s name is automatically retrieved based on strong authentication, and the name cannot be defined manually within the Visma sign service.
Why do I have a personal view?
When a user registers to Visma sign, a personal user account and a personal view linked to it are automatically created. In Visma sign, the user account is always based on an individual person, not directly on a company or organization.
The personal view functions as the user’s own view in Visma sign and does not need to be created separately.
If a user is granted access rights to a company’s Visma sign account, they can access the company view by logging in to their own user account and selecting the company account from the role menu in the top right corner.
How do I get access rights to a company’s Visma sign account?
Each company account must always have at least one admin who is responsible for managing the users of the company account and granting access rights.
When the admin grants a user access rights to the company’s Visma sign account, the access rights are linked to the user’s existing personal user account. Company accounts therefore do not have separate usernames or shared login credentials.
Once the user has accepted the access rights invitation, they can switch between the personal view and company views via the role menu in the top right corner. The role menu shows all companies to which the user has access rights, as well as the option to switch to their own personal view.
Each user always logs in with their own personal credentials, after which they can switch to the company view via the role menu in the top right corner.
If you do not see the company account you are looking for in the role menu, ask the admin of the company account to add you as a user. The admin can add users to the company account from Settings > Users > + Add new user.
The personal view and company views are completely separate. Company users cannot see each other’s personal documents, and documents created via the company account are not stored in the user’s personal view. The user only sees the information and documents for which they have specifically been granted access rights.
How do I edit my information in the company account?
In the company account user management, the email address shown for each user is by default the same username that they used to log in to Visma sign when accepting the company account access rights. However, the user’s email address can be changed in the company account user information to another address. In that case, confirmation messages related to documents created via this company account will be sent to the email address defined for that user.
This is useful, for example, in situations where a user has access rights to several different company accounts and wants to receive messages from different company accounts to different email addresses.
If you are not able to change the email address yourself in the company account settings, you do not have sufficient permission. In that case, you need to contact the admin, who can change the email address of your company account if necessary.
Why do I end up on my personal account after logging in and not see the company information?
If your intention is to use the company account, ensure from the role menu in the top right corner that you have selected the correct view.
