Documents signed as a private person or under the “Other organization” option can be downloaded via a secure link, which is always sent by email once all parties have signed.
Documents signed as a private person or under the “Other organization” option do not transfer to the signer's personal archive. Only documents created in the personal view are retained in the personal archive indefinitely.
How do I download the document via the download link?
The email containing the download link is sent from the address visma.sign@visma.com. The link is personal and intended solely for the signer.
When you click "Download the document", the next view opens. Click "Verify document link".
Once the download link is verified, the next page opens and you can download the document for yourself.
To access the signed document, click the Verify document link button. After that, you can download the document in PDF format. The link is valid for 30 days.
Each download link is unique. If it has already been used, you can request a new one via the original download link. The new link will be sent by email and is valid for 15 minutes.
If the "Email documents after signing" option is selected during the document creation phase, and the signer signs the invitation either as a private person or by selecting "Other organization", they will receive the signed document as a PDF file in the same email that also contains the download link.
If the document is no longer available, you can request the signed document from the invitation sender.
When is the download link not sent?
If the document is signed with strong authentication as a representative of an organization and the organization is selected from the pre-defined list, the document will be stored in the organization account archive, and no download link will be sent by email.
Before April 25, 2025, documents signed as a private person or under the “Other organization” option were stored in the signer's personal archive if the user was registered at the service. Documents signed as a private person at that time are stored for 12 months, after which they are permanently removed from your personal view archive. Documents signed under the “Other organization” option before April 24, 2025, are no longer stored in Visma Sign at all.
What to do if the download link does not work?
If you receive an error message "Something went wrong!" when opening the download link, request the signed document directly from the invitation sender.
