Where can I find the document I signed?

The document's storage location is determined by the choices made during the signing phase. Below are the different scenarios and their storage locations in more detail, but here is a brief summary first:

Signing as a private person: The document is not stored in Visma sign at all. You will receive a download link to your email once the signing process is complete, and you can download the document for your own records via the download link. 

Signing as a representative of an organization (document sent by another party): When you select the organization you represent from a pre-existing list, the document is stored in the root folder of the selected organization account. This option is only available if the organization has a Visma sign account and you have permission to that organization account. 

Signing as a representative of an organization (document sent via your own organization account): When you sign a document that has been sent from a Visma Sign organization account you have rights to and select the organization from a pre-existing list, the document is stored in the folder defined by the invitation sender.

Signing with the "Other organization" option: The document is not stored in Visma sign. You will receive a download link to your email once the signing process is complete.

What if I am a user on the Visma sign account of the organization I represent when signing a document sent by another party? 

If you select the organization you represent from a pre-existing list, the document will automatically be saved to the Unclassified document folder of the organization's account. The document is only visible to users who have access to the unclassified documents according to the organization's account user permissions.

Please note that even if you sign the document yourself, you may not necessarily have access to it if you do not have permissions to the folder where the document is stored. In such cases, you should request the document from the admin of the account.

What if I am a user on the account from which the document was sent for signing? 

If you sign a document created on the organization account where you are a user, and select this organization from a pre-existing list during the signing phase, the signed document will be saved automatically to the folder of that organization account which the invitation sender has defined as the storage location for the document. 

The document is visible only to users who have permissions to the specified folder.

If the document cannot be found in the archive, you likely do not have access to the folder where it is located. In this case, contact the admin of the account to obtain permissions to the folder or to receive the document.

What if I chose "Other organization" or "I represent myself" during the signing phase? 

If, during the signing process, you select the option "Other organization" and manually enter the name of the organization you represent, the document will not be saved to your Visma sign account. In this case, the signed document will be delivered to you by email as a download link once all parties have signed the document.

Also when you sign the document as a private person by selecting "I represent myself" as your role, the document is now delivered via a download link.

Before 24 April 2025, documents signed as a private person were stored in a personal archive for 12 months from the date of the last signature. The storage period started from the moment the document was signed by the last signer.

Starting 24 April 2025, documents signed as a private person are delivered by email as a download link once the signing process is complete. The email contains instructions on how to download the document and information on how long the download link will remain valid. These documents are no longer stored in the personal archive.

How can I download a signed document via a download link?

The metadata of documents signed as a private person before 24 April 2025 will still be visible in the personal archive, but the actual document can no longer be viewed or downloaded via the archive.

Why can't I find the document I signed?
